How to update the Global Address Book in Outlook


When changes occur within the main Global Address Book (GAL) on the Exchange server, computers running Outlook 2007, 2010, and 2013 may not automatically receive the updates. If this is happening, then you may notice missing, non-existent and/or incorrect entries. Synchronizing your Outlook (cached) address book with the Global Address book may fix these discrepancies. Instances of mail that is bounced back to the sender may also be fixed.


In order for some GAL entries to show up properly you may need to turn off Cached Exchange Mode. Please visit the document on How to turn on or off Cached Exchange Mode for (Outlook 2007, Outlook 2010, and Outlook 2013).

 

Windows


Outlook 2007

  1. In the Tools menu, point to Send/Receive, and then click Download Address Book
  1. In the Offline Address Book dialog box, make sure that the Download changes since last Send/Receive check box is checked.
  1. Click OK.
  2. Your Outlook Global Address book is now up-to-date.

Outlook 2010

  1. Click File tab, Click on Account Settings, and then click Download Address Book.
  1. In the Offline Address Book dialog box, make sure that the Download changes since last Send/Receive check box is checked
  1. Click OK.
  2. Your Outlook Global Address Book is now up-to-date.



Outlook 2013

  1. Click File tab, Click on Account Settings, and then click Download Address Book.
  1. In the Offline Address Book dialog box, make sure that the Download changes since last Send/Receive check box is checked.
  1. Click OK
  2. Your Outlook Global Address Book is now up-to-date.


Mac


Outlook 2011

Outlook 2011 does not use Exchange Cached mode and directly connects to the Global Address Book (GAL) via LDAP connection. In this case your global address book will update each time Send/Receive is pressed.
